Business terms

Draft, not yet legally valid. These terms are under legal review. Version: 2026-10-11, updated 2026-10-24.

These terms apply between BillieMe and the venue, organiser or business ("you") that uses the BillieMe Business app. For guests, the consumer terms apply.

BillieMe is offered by [BV name] (in formation), [address], Chamber of Commerce (KvK) number [KvK number], VAT ID [VAT ID]. Business questions: business@billieme.com.

1. What BillieMe does

  • BillieMe provides software: the Business app, the Terminal app, the kitchen/bar screen, ticket sales, the guest list and the discoverability of your venue in the BillieMe app (Discover and Search).
  • Payments go through Stripe (Stripe Connect). For your account you also enter into the Stripe Connected Account Agreement. Stripe carries out the identity check (KYB) and holds the money; BillieMe does not hold money.
  • You are the seller of what you offer (food, drink, tickets) and the counterparty of your guests. BillieMe acts as an intermediary.

2. Plans and costs

PlanPriceBillieMe per order
Start€01.5% of the menu price
Pro€59.99/month, €49.99/month with an annual contract, or €539.99/year upfront0.5%
Pro Group (max 5 locations)€149.99/month, €124.99/month with an annual contract, or €1,199.99/year upfront0.5%
Customquoteby agreement

All amounts include VAT.

  • Menu only (guests see your menu and order and pay at your bar or till): free, because the order does not go through BillieMe.
  • Start: 1 coupled device (one order screen or one bar scanner), up to 3 staff members, unlimited menus. Pro: unlimited order screens and stations, the Terminal till, roles and the other Pro features in the app.
  • Payment methods: guests can only pay with the methods you switch on in the Business app.
  • Payment costs at cost price: exactly what Stripe charges (for example iDEAL | Wero €0.29; standard EEA card 1.5% + €0.25; Terminal 1.4% + €0.10), plus the payout costs (0.25% + €0.10 per payout and €2 per month in which we pay out). No markup.
  • Balance orders: plan % + 1% balance handling.
  • Group Billie where everyone pays for themselves: each guest pays their own share separately and bears the split fee themselves (€0.49 per person for a share under €10, €0.99 from €10; €0 with balance). It covers the payment costs of their payment; you only pay the plan % on it.
  • Tickets: the buyer pays €0.99 service fee per paid ticket (€0.49 under €10); free tickets €0. You pay the payment costs at cost price.
  • Free sign-up: Start up to 1,000 sign-ups per calendar year, Pro unlimited.
  • The costs are deducted within the amount of each order. The guest never pays more than your menu or ticket price, except for the split fee a guest chooses in a Group Billie where everyone pays separately.
  • Each month there is a cost overview in the Business app (Finance → Cost overview).
  • Price changes are announced at least 30 days in advance. An annual plan keeps the same price for 12 months.
  • A subscription through Apple runs via your Apple ID; cancellation and refunds then follow Apple's rules.

3. Payouts

  • Stripe pays out your balance weekly on Mondays, after Stripe's usual waiting period. You can choose the schedule yourself. An instant payout costs 1% (minimum €0.50), at cost price.
  • A negative balance (for example after a refund) is recovered by Stripe from your next payouts or from your bank account.

4. Refunds, cancellations and disputes

  • Refunding an order: you decide on a refund, for the whole order or per line. The guest gets the amount of those lines back to their payment method; if a line was for a friend, the reversal comes off that friend's share. You only get BillieMe's plan % on that amount back; we do not get the payment costs back from Stripe either.
  • Cancelling an event: buyers automatically get 100% back, service fee included, within 14 days. You pay our fee and the payment costs of those tickets. They become a cost item that we offset against your next sales and orders, at most 10% per order. Door sales are also refunded, from your own account.
  • Rescheduling an event: buyers choose whether to keep their ticket or get 100% back within 14 days (same costs as for cancelling).
  • Disputes (chargebacks): Stripe recovers the disputed amount from your account. The dispute fees (€20 per card dispute, which Stripe charges us; iDEAL | Wero has no disputes) also become a cost item, with the same offsetting (max 10% per order).

5. What you take care of

  • The accuracy of your menu, prices, allergens, opening hours and events. A wrong price on your menu is your price.
  • Allergens: a menu that BillieMe imports for you (from your website or a photo/PDF) or an allergen suggestion from the app is only a suggestion. Guests only see allergens once you have confirmed them; otherwise they see "Allergen information not available". You remain responsible for the allergen information (EU Regulation 1169/2011).
  • The law: VAT on your sales, the Dutch Alcohol Act (no alcohol under 18; BillieMe checks the age on the account and shows "18+ · ASK FOR ID" at hand-over, but you check the ID), permits and the safety of your event.
  • Your staff and who has which permissions in the Business app.

6. Guest data and the data processing agreement

For the guest list, invitations to private parties and the data you put in the Business app about your own guests, you are the controller and BillieMe is the processor (GDPR Art. 28). The following applies:

  1. BillieMe processes that data only to provide the service (letting guests in, delivering tickets, the door app) and only on your instructions.
  2. BillieMe staff who have access to it are bound by confidentiality.
  3. Security: encrypted transport and storage, access only via your account and the roles you assign, logging.
  4. Sub-processors: Google Cloud / Firebase (storage and servers, EU region europe-west4, the Netherlands), Stripe (payments), SendGrid (email for ticket delivery and invitations) and Twilio (SMS). To import your menu and for allergen suggestions we use Anthropic (Claude); only your menu and venue data are sent, no guest data. For a new sub-processor we let you know in advance and you can object.
  5. Retention period: we erase names and email addresses on a guest list 90 days after the end of the event. You can erase them earlier yourself in the app ("Erase name").
  6. We help you with requests from guests (access, deletion) and report a data breach within 48 hours of discovering it.
  7. After termination we delete your guest data, except what the law lets us keep (such as the financial records, 7 years).

For guest accounts, payments and tickets as a financial record, BillieMe itself is the controller (see the privacy policy).

7. Discoverability in Discover and Search (P2B Art. 5)

Your venue appears in Discover and Search once it is verified and active, in every row of the categories you choose (and under Terraces if you have a terrace). Within a row, the following determine the order, in this order:

  1. What's on now: public events running now or starting today, then venues that are open now;
  2. distance to the user, if they share their location (closest first; without location this does not count);
  3. then later events (by date), then closed venues, and sold-out events last;
  4. if tied: the name.

The Nearby row shows what is open now or happening today within 3 km (extended to 10 km if there is little). The rows themselves are in a fixed order that moves with the season (Terraces ranks higher from April to September). Search finds you by name, place, type and cuisine or genre.

There is no paid placement: a plan (Start or Pro) does not change the order. If this changes, we update this section and let you know 15 days in advance.

8. Suspension and termination (P2B Art. 4)

  • You can always terminate your account and subscription (an annual contract runs until the end of its term).
  • BillieMe may suspend or terminate your venue in the event of fraud, a breach of the law, repeated complaints from guests, or when Stripe closes your account. We let you know in advance and with a statement of reasons why (you receive a message with the reason, and the reason is shown with your venue in the app) (for a termination at least 30 days in advance, except in the case of fraud or a legal obligation). You can respond within that time.

9. Complaints (P2B Art. 11)

You submit a complaint or objection in the Business app: Profile → Help → Complaint or objection (or via billieme.com/en/contact). We confirm within 2 working days and give a substantive answer within 14 days. If we cannot resolve it, you can go to a mediator; we will name the mediator in the final version.

10. Changes

We announce changes to these terms at least 30 days in advance (P2B requires at least 15). If you do not agree, you can cancel free of charge during that time.

11. Liability and law

  • BillieMe is not liable for indirect damage or lost revenue due to an outage, except in the case of intent or gross negligence. Our liability is limited to the fees you paid in the preceding 12 months.
  • Dutch law; the competent court in Rotterdam.
